Automation for fixed assets · AxI/

"From inventory sheet to monthly report, no manual intervention."

A Make.com scenario that takes your fixed-asset inventory in Google Sheets, calculates depreciation with AI, and generates the complete report — with Argentine number and date formatting, ready to post.

§01 · The problem

Monthly hours on a repetitive task

Companies that manage fixed assets in Google Sheets face a tedious and error-prone process: calculating depreciations month by month, correctly formatting values for the local context, and consolidating everything into an ordered report.

With dozens or hundreds of assets, doing it by hand consumes hours every close.

Typical errors are avoidable but costly: the classic 20.000,00 that a system interprets as 20, dates in mixed formats, decimals that round wrong and carry over to close.

§02 · How it works

The flow, in 4 steps

The scenario runs unsupervised or on demand. Reads the sheet, processes each asset, calculates, and returns a new report in Sheets — all in seconds.

01
Automatic trigger
Activates on detecting a new file in Drive, or on demand. Reads the sheet row by row.
02
Normalization
Each row is processed individually. Argentine-format values are converted before any calculation.
03
AI calculation
Google Gemini analyzes each record and calculates depreciation, residual value, and audit alerts.
04
Final report
Make creates a new sheet with number format #.##0,00 y fechas DD/MM/YYYY.
§03 · What it calculates

Four outputs per asset

For each inventory row, the scenario produces the values your accountant needs to post — plus a control layer flagging inconsistent records.

01
Monthly depreciation
02
Historical accumulated depreciation
03
Residual value at period start
04
Audit alerts on inconsistent assets
§04 · Argentine formatting

The detail that breaks generic reports

The difference between a report that can be posted directly and one that needs cleanup later is in the formatting details. The scenario applies Argentine rules to every cell.

#
Numbers
#.##0,00
Dot as thousands separator, comma as decimal. Rounded to 2 decimals.
Dates
DD/MM/YYYY
Dates de baja y cierre uniformes en todo el reporte. Sin formatos mezclados.
§05 · Before and after

What changes at close

Before
After
Manual calculation in Excel or Sheets
Automatic processing of 50+ assets in seconds
Number-format errors
Values correctly parsed and rounded to 2 decimals
Dates inconsistentes
Uniform DD/MM/YYYY format across the report
Repetitive process every month
One click, or fully unsupervised
§06 · Tech stack

Built on standard pieces

No servers to administer, no custom development. The whole flow is visible and editable: if your accounting policy changes tomorrow, the scenario adjusts without rewriting anything.

Make.com
End-to-end flow orchestration, step by step, with full visibility into each execution.
Google Gemini
Intelligent depreciation calculation and inconsistency detection.
Google Sheets API
Writing the output report with number and date formats applied per column.
Google Drive
Input and output repository. Automatic trigger when a new sheet is uploaded.
